EMERGENCIES
During the operation of your program, our office number may be used for emergency inquiries. Toll-free nationwide, we can be reached at (800) 590.2669 or in the Cleveland area at (216) 531.8884. If there is no ‘in person’ reply, please leave a detailed message (including where we can reach you). We will get back to you as soon as possible.
TOUR MANAGER(S) / EDUCATIONAL GUIDE(S)
All programs have a Tour Manager and in most cases a local licensed educational guide assigned to your tour. A guide is with you to provide specific information about your destination, while a Tour Manager (who may also be your guide) is there to assist you with the logistics of your program.
SPECIAL REQUESTS
If a student should have special needs (i.e., meals and/or room accommodations), please inform Discovery Tours staff immediately. We will do our best to accommodate your request.
PAYMENT POLICY
You will be invoiced directly for your final payment. Payments made after invoice due date will be charged a $25 late processing fee. All payments sent to Discovery Tours within 10 days of departure MUST be made by certified check or money order. Checks returned to Discovery Tours for any reason will be charged a $25 processing fee and will require replacement by a certified check or money order.
ACCESSIBILITY
Discovery Tours will not directly or indirectly discriminate against persons on the basis of special needs. Discovery Tours intends to comply with the Americans with Disabilities Act (ADA). However, although we will notify vendors and request accessible facilities, Discovery Tours can not guarantee that all facilities and attractions will provide access that complies with ADA requirements. Please note that Canada and international destinations do not adhere to ADA requirements. Please provide us with advance notification of special needs as all sites and attractions may not be accessible. Note – persons with disabilities must have a traveling partner who is fully responsible for the person if the disability prevents them from being independent.
CANCELLATION POLICY
The following is the standard cancellation policy for motor coach tours only:
Between deposit date and 90 days before departure:
No penalty
Between 89 days and 60 days before departure:
Penalty 25% of the per person program fee
Between 59 days and 31 days before departure:
Penalty 50% of the per person program fee
Within 30 days of departure:
NO REFUND
Cruise line and air passengers have their own cancellations policies which must be followed. Please contact us for more details.
Tickets for certain activities (theater, sporting events, etc.) are purchased well in advance of the event date. Cancellation any time after initial deposit may be subject to an additional penalty (above and beyond the cancellation policy listed) that represents the cost of such nonrefundable tickets. ANY CANCELLATIONS RESULTING IN REFUND MUST BE MADE IN WRITING DIRECTLY TO DISCOVERY TOURS. The amount of your refund will be determined by the POSTMARK DATE of your cancellation notice. Refund checks will be issued within four weeks of written notification. These cancellation penalties are in effect regardless of the reason for cancellation including disciplinary action taken by the school/organization or cancellation of the entire group by the school/organization for any reason. Discovery Tours reserves the right to include an administrative fee in any cancellation charges to program participants. Neither Discovery Tours nor the school/organization is financially responsible for any charges to program participants for cancelled trips due to (but not limited to) weather related events, civil strife or national/international emergencies.
RESPONSIBILITY STATEMENT
These tours are operated by Discovery Tours of Cleveland, Ohio, which works with motor coach providers who are certified and bonded by the Interstate Commerce Commission of the federal government. Discovery Tours acts only as an agent for tour members in arranging room accommodations, transportation, admissions, sight-seeing and restaurants. Discovery Tours reserves the right in its sole discretion to make changes to its itineraries and is not responsible to any person for expense, loss of time or money, or other circumstances resulting from an itinerary change or change of tour arrangements for tour members. Discovery Tours reserves the right to decline, to accept or to retain any person, as a member of any tour at any time. Discovery Tours is not responsible for any loss or damage of personal property, or for injuries, expenses or damages incurred or claimed by any tour member(s). Discovery Tours acts only as agents for the passenger and therefore accepts no responsibility, in whole or part, for delays, loss, damage, injury to property or person(s) due to mechanical defects or other cause and is not responsible for events outside their control, including but not limited to Acts of God, strikes, terrorism, war, sickness, power failures or government restrictions or regulations, or for acts of any person or entity not controlled by Discovery Tours, including but not limited to airlines, motor coach companies, taxi services or hotels. Discovery Tours has the authority at their sole discretion to terminate a student’s participation in any sponsored program or trip for failure to comply with the rules, regulations, standards or instructions. In the event that participation in any sponsored program is terminated, all costs and expenses related to the termination and return home are at the expense of the student. In the event that participation is terminated there will be no refund of any fees associated with the sponsored program or trip. Discovery Tours will make all arrangements for services and accommodations for the tour program and may cancel any program for insufficient enrollment, or may alter programs, itineraries and/or substitute airlines and equipment as required.
