Safety Guidelines for Educators

Discovery Tours in Cleveland is one of Northern Ohio's oldest and most experienced student travel companies. Discovery Tours' staff is focused on combining educational needs, safety and efficient use of time. Your itinernary is customized carefully, so you can dedicate your full attention to the students.

Their permission slips are signed, their bags are packed and they are ready to head out on their class trip.  Student Travel is an exciting opportunity to experience different places and wondrous cultures.  A trip can create memories that will last a lifetime.  However, there are certain precautions that should be taken to ensure that the trip goes smoothly and, most importantly, safely.  While part of travel is experiencing the unexpected, advance preparation can insure against unpleasant experiences.  In short, make sure your students are aware of the following information.

BEFORE YOU GO (INTERNATIONAL DESTINATIONS)

If you are traveling to an international destination, learn about the local laws and customs of the countries you are visiting.  No one is immune to a country’s laws just because he/she is a visitor.  Bring an extra pair of glasses or contact lenses.  It’s hard to enjoy the sights when you can’t see them.  Pack a simple first aid kit with bandages, antibiotic cream and pain relievers.  It’s a good thing to have, just in case.  Make sure that as a trip leader, you are aware of any medications students are taking.

Students will have to reset their thinking when it comes to traffic safety.  The rules of the road aren't the same overseas as they are at home.  In some countries, people drive on the opposite side of the road and you'll need to be aware of this before you cross the street – look in the opposite direction.  Pedestrians don't always have the right of way overseas, either.  Be sure there are no cars coming when you step into the street: if there are, they may not stop for you.

And finally, pack all valuables, travel documents and your passport in a carry-on bag.  Occasionally checked luggage gets lost at airports, so you want to have your important items with you.

HOTEL SAFETY

  • Keep your door locked and chained and never open your hotel room door to strangers.
  • Do not accept an unexpected delivery to your room.
  • Always read the fire instructions located on the back of your room door and familiarize yourself with where the nearest fire emergency exit is located on your floor.
  • In the event of a fire, never get into an elevator – always use the stairs.
  • Never leave your valuables or passport in your hotel room when you are not present.  Use the room or hotel safe (if available) for all valuables when possible.
  • Make sure you know how to contact the front desk and the group chaperone’s room(s).
  • Never give out your room number or phone / cell number to strangers.
  • Never enter your room if it is unlocked or if you are alone and someone is following you down the hall.  Let them pass you before entering.
  • Keep any medication near your alarm clock as a reminder to take it before you go to bed.

PREPARING FOR AIR TRAVEL

  • Pack all valuables, medications, travel documents, toiletries and trip-related documentation in your carry-on bag.
  • Place all film in your carry-on luggage or ask for a hand inspection.  Equipment used for screening checked baggage can damage your undeveloped film.  NOTE – carry-on screening equipment might also damage film if it has been passed through five or more times.
  • Do not lock your luggage as the lock can be damaged or removed by the Transportation Safety Administration (TSA).  Use special ‘TSA approved’ locks, which can be opened by airport staff using special tools without damaging your lock.
  • Clearly identify your luggage with your name, phone number and mailing address.  It is also a good idea to place this information in your luggage.
  • Verify departure terminal location and gate number in advance to avoid delays.
  • Current security measures can cause delays at airports.  Be sure to arrive in advance of your departure time.
  • Avoid wearing shoes or accessories containing metal.

PACKING SUGGESTIONS

  • Bring a camera, film and batteries.  Be sure to bring enough photography supplies for your entire trip.  If you have a video camera, bring along an extra battery plus proper recharging equipment.
  • Bring a travel alarm clock, travel iron and a hair dryer (there are irons and hair dryers provided at some hotels).
  • Remember sunglasses, tissues, toiletries and cosmetics.
  • For emergencies, a pre-paid calling card for phone calls home and/or a cell-phone is advisable.
  • Walking shoes and a lightweight jacket or sweater for cooler evenings is recommended.
  • Pack items that may leak (i.e., all liquids, lotions, etc.) in waterproof bags – double bagging is ideal.  Lids can open during transportation and spill into your luggage.
  • Do not pack jewelry, money, travelers’ checks, medications or articles of value in your checked luggage.
  • Bring books, magazines and snacks.
  • Bring a copy of your identification or passport (pack it separately from the original).
  • Leave a copy of the tour itinerary at home with your emergency contact.

Every group of travelers is unique.  The age range of a group dictates everything from the types of attractions to visit to the security and room arrangements at the hotel.  In brief, it is important when planning a student tour to be thorough and organized so your tour is an exciting, memorable and enlightening experience for all.
